Field Re-Scheduling Information

Greetings travel coaches, 

 

Important:  The fields rescheduling process has been updated to become partially form-based instead of solely-e-mail based. This will allow for more uniformity of requests and (hopefully) quicker response times.

 

How to reschedule a HOME game (new procedure):

1.      As soon as it becomes clear that a home game must be rescheduled you should contact the opposing coach and arrange a mutually agreeable make-up date. It is also advisable to agree on a backup date in case the first reschedule date is unavailable.

2.      Please follow all BAYS guidelines for rescheduling - including offering the opposing team at least 3 alternate dates and scheduling postponed games no more than 2 weeks after the original game date. Preponed games can be rescheduled virtually any time.

 

3.      Once you and the opposing team have agreed on dates, fill out the rescheduling online form. 

 

4.      If you have multiple rescheduling requests, you must fill out a separate form for each one and send separate e-mail notifications. Each rescheduled game is its own unique request. No rescheduling request will be considered without a properly filled-out form.

 

5.      To fill out this form, you will need two crucial numbers: Your unique alphanumeric team identifier (G1105, B1402, etc.) and your BAYS game number. BAYS game numbers are located in the far left column of the schedule on your BAYS team page.

6.      Once you have sent the form, you should send an e-mail alerting the Fields Rescheduler and Referee Coordinator that your request has been submitted:

7.      You will receive an e-mail from the Fields Rescheduler. This e-mail informs you of your rescheduled field assignment and notifies the Referee Coordinator that it is OK to assign a ref or refs to the rescheduled game.

 

8.      After receiving your rescheduled field assignment, you should follow up with the Referee Coordinator and the opposing coach to confirm that all elements of the game are in place.

 

NOTES AND TIPS

 

·         Whenever possible, you should schedule makeup games for your approved practice time and field. This cuts down on player and parent availability issues and these requests will almost always be granted.

 

·         Popular practice nights like Friday and Tuesday and the lighted fields at Albemarle and Forte are very difficult to schedule due to their popularity and our limited space. Avoid these if possible.

 

·         BAYS games take priority over scheduled practices. If need be we will bump teams off their practice fields to open space for rescheduled game. The Fields Scheduler will notify the practice team and help them find alternate space.

 

·         Public school use of fields trumps our games and practices.  If you find that you have conflicts with school-based teams or activities, please calmly and patiently work things out at that time and send the Fields Rescheduler a note so the conflict can be avoided in the future.

Other Related information on field rescheduling:

Game field re-schedule for 6v6, 8v8, and 11v11 fields.  NYS and NGS are granted a fields permit from the Parks& Rec department for the use of Newton fields during specified times during the week each season.   

  This is a new electronic process with the following info!    

·   a primary and secondary date and time.  These dates should already be agreed upon with the opposing coach!   

Available timeslots (daylight or possibly lighted field):

Saturday: 9:00, 10:30, 11:45, 1:00, 2:30, 4:00 and 5:30. 

Sunday: 1:00, 2:45, 4:30, and 6:00. 

·   Your team number (from the coaches list)

·   Field size requested (6x6, 8x8 or 11x11)

·   Date, time and location of original field (the one you won’t be using) if rescheduling in advance of the original game date (pre-pone)

 Remember, the closer you stick to the process, the easier it will be for us to meet your needs!  

A few tips for a smoother process:

·   Scheduling makeup games during your approved practice time and field is good, these requests will almost always be granted and I’ll move the other teams you practice with off the field.

·   Friday nights are very difficult to get a field as many teams practice that night.  Request these as a last resort.

·   For 11v11 makeup games, we may be able to use Forte field in Nonantum under the lights until 7:00 pm.   Parks&Rec must be called with the weekly schedule every Monday to get the lights turned on. Please inform the re-scheduler ahead of time.

·   If a makeup game cancels, even at the last minute, please Email as soon as you know, so I can use the field for another game.  This is especially true for the Forte field games where I have to inform the Parks&Rec not to turn the lights on. 

·   Public schools use of the fields for their activities trump our games and practices.  I have no knowledge of their schedule or other leagues practice and game schedules.  If you find that you have conflicts, please calmly work things out at that time and send me feedback so I can stay away from the conflict.

·   When there is no alternative, I will move practices to schedule makeup games.  Coaches are responsible for finding a piece of the field or alternative location for practice (elementary schools).
